Using Outlook Web Features for Archiving

A nice feature of Outlook is the ability to view Web pages without leaving Outlook. The feature is called "folder home page" and it has been supported in Outlook since Outlook 2000.

Folder home page is especially useful for email archiving. By simply clicking an "archive folder" in Outlook, users can access the email archive search application, which is Web-based. Then they can quickly search and browse archived information without leaving Outlook.

The alternative is to leave Outlook and open a Web browser, or use Outlook plug-ins. An obvious problem with Outlook plug-ins is that they require the installation of a local agent on the desktop. The Web browser method is not too bad, but folder home pages are more convenient.

Folder home page is also supported in Outlook Web Access, a nice feature for users who are frequently away from their desktops.

When evaluating email archiving solutions, it's worthwhile looking closely at the end-user interface to the archive. All things being equal, it's better if the vendor supports folder home page because of the user convenience and the lack of desktop agents. ... Bob Spurzem
