Mimosa's Email Retention Technology

Archiving vendor Mimosa Systems recently announced its Retention and Classification Option. This is a good illustration of capabilities that archiving solutions are typically adding:

  • Uses conventional policy definition filters--Boolean logic, regular expression pattern matching, etc.--to scan new emails, or an established archive.
  • A match causes a classification to be assigned to the email.
  • Useful for legal holds, regulations compliance, records management; secondary benefit is reduced storage costs.

As is typical for such capabilities:

  • It's a valuable enhancement.
  • The filters are crude and will often generate false positives and false negatives.
  • It's unclear whether this will cause many organizations to shift from the current default position, which is to keep everything except spam for the foreseeable future.
  • In many cases, there probably needs to be more user interaction in the classification process.
