Archiving Products Survey
We are doing a survey of users of archiving products (e.g., EMC Legato, Symantec Vault, Zantaz/Autonomy), to see how good the products are in practice. We'll use the information to produce a Consumer Reports-style comparative assessment.

If you are using an electronic archiving product or service and would like to participate, please go to www.ferris.com/archiving-survey.html. The survey takes about five minutes to complete. We ask you to score the product in areas such as:

  • E-discovery support
  • Storage management features
  • Support for laws/regulations/policy compliance
  • Scalability
  • Quality of vendor support
  • Overall value for money

In return, we will send you a summary of the results.

This is an ongoing survey. Because there are about 15 products under evaluation, we're seeking ultimately to gather several thousand responses. ... David Ferris

A Clarification About SPF and IP Reputation
Expanding on: Steve Kille's recent bulletin about IP reputation. SPF isn't exactly a "reputation mechanism" -- although it can be used to help identify the sender, in order to make improved reputation-based decisions.

SPF, DKIM, and other "sender authentication" schemes help a receiving MTA decide if it knows which domain sent a message. For example, SPF can tell if the sending IP address 1.2.3.4 is authorized to send mail claiming to be from example.com and DKIM can tell if the incoming message was signed by example.com's private key.

If the receiving MTA knows the sending domain, it doesn't need to rely on the reputation of the sending IP address, which can be a blunt instrument. It allows domains themselves to have reputations. It's especially useful for whitelisting known-good domains, so that mail from them doesn't fall victim to the false-positive problem.

(Another common way of describing SPF et al is: mechanisms to detect forgeries, which amounts to the same thing but in a different context.) ... Richi Jennings

FTP Importance Growing
The normal way of transferring files is by email, or, after that, by instant messaging.

For small files, up to say 5MB or so, these vehicles are fine. Above that, file size and transfer times create problems.

Ignoring some of the niceties, use of FTP, the file transfer protocol, is the main alternative. FTP use is thus healthy, and growing.

Home-grown solutions dominate today's market. Some of the main vendors of packaged FTP technology are Ipswitch, Tumbleweed, and Sterling. ... David Ferris

Records Managers Don't Understand IT
Records managers are responsible for the storage of corporate records. Traditionally, they store lots of paper documents, and ensure those records are kept for appropriate periods of time before being destroyed. Perhaps their most important trade organization is the American Records Management Association.

Nowadays, most records are kept in electronic form. Unfortunately, most records managers today don't have much knowledge of IT. They need to learn about it. People who have a strong background in both records management and IT are rare. If you're one of the few who have these combined skills, you'll likely start to see an increasing number of well-paying job offers.

Or, if you're OK with days of infamy, contention, and scorn, we may have a position for you at Ferris Research. ... David Ferris

IT Staff Don't Understand What a Record Is
A corporate record is defined as something along the following lines: a document that records a transaction or event that's significant to the organization concerned, such as a tax return or an insurance contract.

Or, more formally, the ISO defines records as "information created, received, and maintained as evidence and information by an organization or person, in pursuance of legal obligations or in the transaction of business."

A body of laws and regulations related to corporate records has evolved. These laws and regulations were previously of concern to people who store paper documents--primarily records managers. Now most records are electronic, so IT is involved.

However, IT staff are unfamiliar with the concept of a record. This makes it hard for them to understand what materials must be archived, and how long they must be retained. ... David Ferris
