You, Dear Reader, Are Immortal
We are about to achieve virtual immortality.

Recently, Lazare Ponticelli, 110 years old, died. He was the last French infantryman left alive from the First World War. With him died the final traces of the rich and complex world of his comrades in the trenches, of his parents, and the vast majority of the stuff of his early life.

As The Economist's obituary beautifully put it: The business of memory is as elusive as water or mist. The yellowing photographs slide to the back of the drawer; the voices fade; and the last rememberers of the dead die in their turn, leaving only what Thomas Hardy called "oblivion's swallowing sea".

But things are different now. We are all accreting ever-richer electronic traces of ourselves. Today, our emails are kept for many years. Soon, many of our voice conversations will be archived, and our instant messaging conversations, our teamspace participations, our pictures, our videos, and any sort of electronic stuff you can think of.

And so, in times ahead, when our last rememberer dies, we will still live on, through the medium of computer archives. Amazingly, it will be possible for our successors, many generations hence, to become intimate with us as people, to feel the texture of our lives: from our important decisions, to our most harmless of foibles. ... RPost SideNote: Simple, Powerful Way to Improve Email
We recently heard from RPost about an add-on to its Registered E-mail service. The new feature is called SideNote, and it seems like a deceptively simple, yet powerful way to improve users' experience when performing everyday email tasks.

Imagine a common email workflow: Alice sends email to Bob and wants to also send a copy to her manager, Carol. Well, that's easy: Every email system allows Alice to CC her manager. But what if Alice wants to include a cover note for Carol to set the message in context, and wants to keep the cover note private from Bob? There are two ways of doing this:

  1. Alice could send the message to Bob, then dig into her Sent Items folder, find the message, and forward it to Carol with the covering text. However, this breaks the semantics of the CC, because now Bob can't see that Carol was included in the conversation. That means that some social cues have been lost, and it prevents Bob's reply going to Carol (unless Alice manually forwards those as well).
  2. The other alternative is for Alice to first send a message to Carol saying "I'm about to send Bob a message and CC you" and include the secret covering text. Then Alice sends the actual message, CC'ing Carol.

Either workflow is messy, and causes extra "busy" work, with room for error. There's a very real cost associated with this loss in productivity. Aren't computers supposed to make this sort of thing easier?

RPost's SideNote allows a sender to add a private note that goes only to the CC recipients of a message. It's modeled after the familiar yellow sticky note, popularized by 3M. All recipients get to know who got a copy, but only the intended recipients of the private note receive it. This approach is much less messy, less prone to error, and allows users to be more productive. ... Richi Jennings

iPhone Attractive for Many Business Travelers
Apple recently announced that the iPhone will support Microsoft Exchange.

The iPhone is significant for business travelers. Its slick interface and excellent form factor are a major attraction, but the storage capacity is particularly remarkable. It can hold 16GB of data files (32GB for the iPod Touch), making it possible to carry thousands of files and years of email.

For business travelers, the iPhone provides cellular phone service (AT&T), Internet access, and email connectivity with Microsoft Exchange. In one small device, business travelers can carry customer quotes, sales reports, sales literature, and presentations, while retaining access to company email, company CRM, and phone and voicemail. When meeting with customers, data can be retrieved in seconds, and files can be shared and presentations can be delivered. Amazing when you consider the small size of the iPhone.

Compared with a traditional laptop, the iPhone lacks a full-size keyboard and decent-size screen. But many traveling business users utilize their machines more for presenting and sharing information that was previously created, and less for report writing and editing. They can get by very well with the iPhone while gone for a two- to three-day business trip. ... David Ferris

Fortiva's Hosted Archiving
Here's an update on Fortiva, which offers hosted email archiving:

  • Main service offering is Fortiva Archiving Suite. Email archiving, lots of e-discovery services, storage management. Typical cost is $1-$2/mailbox/month.
  • SmartStore. This is a subset of the Archiving Suite, with more limited e-discovery capabilities. Typically about $1/month.
  • Services mainly aimed at companies with 1,000 mailboxes or more.
  • Privately held; revenues not disclosed. Ferris Research estimates current run rate as $9 million/year.
  • 50% of revenues go through partners. Microsoft Online Services is the largest OEM.
  • Fortiva mainly competes with high-end customer premises email archiving solutions from Symantec, EMC, and CA.

The services have some important competitive strengths:

  • A nice encryption architecture, addressing customers' privacy concerns.
  • High-performance search, using a modern distributed search architecture.
  • Tight integration with the customer's internal systems. In particular, there's tight integration with Active Directory, so users sign on with normal ID and password, and policy definition can use AD groups and distribution lists.

Requirements for Hosted Enterprise Archiving
Hosted archiving has a number of obvious attractions, such as:

  • Fast installation.
  • Probably lower TCO.
  • Less use of internal IT staff.

Here are some thoughts about requirements for enterprise hosted archiving:

  • Customer-premises-based encryption/decryption is required, to provide for privacy.
  • Customer premises appliance or server is required to provide for encryption and Active Directory integration.
  • Modern distributed search capabilities (think Google architecture, but queries themselves can be far more elaborate than those of Google).
  • Tight integration with Active Directory, so policy and searches can be based on user groups, and so users have single sign-on.
